Secondary Patient Portal Account

Introduction

The Secondary PHR Account feature helps Practices provide Charm Patient Portal access to multiple caregivers of a patient.

You can use this feature in scenarios where multiple members are involved in patient care and each needs their own PHR account to access the patient's medical records and communicate with your practice.

Using a secondary PHR account the caregiver can:

  • Access all the medical records shared by the practice.
  • Send and receive secure messages to/from the Practice Members.
  • Upload and share documents with the Practice
  • Join Telehealth Appointments from PHR

Follow the steps below to enable and use the Secondary PHR Accounts for your Practice.

Enable Secondary PHR Account

The Practice Admin can enable the Secondary PHR account feature for the practice by following the steps below.

  1. Go to the 'Settings > Patient > Demographics' section.

  2. Enable the 'Secondary Accounts' checkbox under the 'PHR Registration' section.

  3. Click on the 'Save' button.

Create Secondary PHR Account for Caregivers

Once enabled, practice members with the necessary role privilege can create a secondary PHR account for caregivers by following the steps below.

  1. Go to the 'Patient Dashboard > Patient Details' section of a patient.
  2. If Caregivers are not already added, add them first by clicking on the 'Edit' button.

  3. Click on the 'Add' link in the 'Caregivers' section.

  4. Enter the caregiver details in the pop-up box.

    It is mandatory to fill in an email address that is not linked with any other Charm account.
  5. Click on the 'Save' button.
  6. Once the Caregivers are added, you can send a PHR invitation to them from the 'Secondary Accounts' section.

Note - You can add a maximum of two caregivers for each patient.

Note: The secondary PHR account can be created only after the Primary PHR account is created for the patient.

Caregiver Login to Secondary PHR Account

Caregivers can log in to their secondary PHR account by following the steps below.

  1. Click on the PHR invite link received through email(The email address mentioned in the EHR caregiver section).

  2. Enter the Patient's date of birth in mm/dd/yyyy format and click on the 'Next' button.

  3. Set the account password by following the instructions displayed, enter the text displayed in the captcha, accept the terms and conditions, and click on the 'Submit' button.

  4. Then enter the OTP sent to your email address.

After successful verification, caregivers can access the secondary PHR account.

Secondary PHR Account Features

Using a secondary PHR account, caregivers can view upcoming appointments, questionnaires filled, prescriptions, labs, billing, and other medical records shared by the practice.

Although there is only Read access for the sections in the secondary PHR account, caregivers can still:

Send and Receive Messages

Secondary account members can message the Practice Members by following the steps below.

  1. Click on the 'Send Message' button in the Quick Menu bar or the 'Compose' button in the messages section.

  2. Enter the Practice Member name in the recipient field.
  3. Fill in the message subject and content.

  4. Click on the 'Send' button.

The Providers can view messages from secondary PHR accounts in the Messages section within CharmHealth EHR.

The 'Related Patient' field displays the patient's Primary Account holder's name for quick reference. Providers can reply to the incoming messages from secondary PHR accounts as it is done for the primary account.

Providers can also compose and send messages to a secondary PHR account directly by following the steps below.

  1. Go to the 'Messages' section in the EHR dashboard.
  2. Click on the 'Compose' button.

  3. Choose the Patient's name.
  4. If secondary PHR accounts are registered for the patient, you get an option to select them. Message can be sent to both the Primary and Secondary PHR account holders or either one of them.

  5. Fill in the message subject and content.
  6. Click on the 'Send' button.

Note: Primary account holders cannot view the messages sent and received by the secondary PHR account holders and vice versa.

Join Telehealth Appointments

Caregivers can join the TeleHealth appointments from their secondary PHR account directly. The meeting link and the password (if configured) are provided within the 'Appointments' section.

Upload and Share Documents

Secondary account members can upload and share the documents with the Practice by following the steps below.

  1. Click on the 'Upload' button in the 'Documents' section.

  2. Upload the file from your local drive.
  3. Choose a folder from the drop-down list.

  4. Click on the 'Upload' or 'Upload & Share' button.
  5. If you choose the 'Upload & Share' option, you can share the documents within or outside Practice.

  6. Click on the 'Share' button.

Practice Members get notified about the uploaded documents in the Messages section. They can click on it to view the documents sent by the caregivers from the secondary PHR accounts.

Members can also view the uploaded documents in the respective 'Patient Dashboard > Documents' section.
