Waiting List Appointments

We are excited to announce Appointment Waiting List in ChARM New User Interface. You can add patients to the waiting list and accommodate them when some existing slots got cancelled.

Add Waiting List

You can add Waiting List from multiple workflows in ChARM EHR.

From Calendar > Waiting List

  1. Go to Calendar > Waiting List section
  2. Click on the '+ Waiting List' button
  3. Select the patient and provider
  4. Select the Visit Type and Resource
  5. Choose the 'Date Preference'. If the waiting list has to be created for a specific date, select the 'Specific Date(s)' option. Provide the date preference using the 'Options'

  6. You can also create waiting list for a time period. To do this, select 'Period' option for the 'Date Preference' field and enter the 'From and 'To' dates. By doing so, whenever an appointment gets cancelled during this time period, the wait listed appointment will take up that slot.

  7. Select the 'Time Preference' and provide a reason for the appointment
  8. Click on the 'Confirm' button

You can also click on a date from the Waiting List > Week or Month view to add  waiting list for that date

From Calendar > Appointments

If the provider is already booked on the patient's preferred date/time, you can add the patient to the waiting list from the Calendar > New Appointment pop-up

Select the 'Category' as 'Waiting List'. Choose the provider, date and time preference, and click on the 'Confirm' button

You can also add patients to waiting list, while processing appointment requests received from PHR and Calendar Web Embed

Patients can also add themselves to Waiting List from Practice Website and PHR, if there is no slot available for a date. You can enable this option from Settings > Calendar > Online Appointments section

Email/Text Notifications

Automatic email and text notifications are sent to patients once they are added to waiting list

Practice Administrator can turn-on the email notification for waiting list from Settings > Patient > Email Notifications section. If required, you can customize the email content from Settings > Templates > Email Templates section

Text notification for waiting list can be enabled from Settings > Patient > Text/Voice Notifications section

Process Waiting List

You can view the waiting list patients by date, from Calendar > Waiting List section and confirm or cancel them from there

In addition, you can view the waiting list count for the day/week/month from the default calendar. Click on the notification link to view the corresponding patients

During appointment cancellation, users are notified if there are any patients on waiting list for that slot. This notification helps to rebook the cancelled slot with patients from waiting list

Role Privileges

New role privileges included to control the user access to Waiting List

Practice Administrator can assign these privileges to practice members, from Settings > Facility > Roles section

Waiting List Report

Similar to appointments, you can generate reports for waiting list from Calendar > Reports section

Select the 'Report Type' as 'Waiting List'. Choose the date range and providers. Then click on the 'Show Report' button

You can also export the generated report as a CSV file
